Each year, the Australian College of Behavioural Optometrists (ACBO) hosts their National ACBO Vision Conference (NACBO), where they bring members of the behavioural optometry community together with content that reflects current scientific research and clinical trends.
We were engaged for the 2-day hybrid event on the 9th-10th July, held at the QT hotel on the Gold Coast, where over 200 delegates attended.
The brief
Our client wanted to ensure that those not attending in person still had access to all of the conference’s content, and at a high-quality, professional level.
We were to film and livestream the event to a Vimeo player that was embedded on the ACBO website, providing project management, AV support, and a crew on the ground to make sure everything went off without a hitch.
They also requested an edited, on-demand video within 24 hours of the event, which for us is all in a day’s work!
Behind the scenes
A lot of work went on in the background in the lead-up to the event, from weekly WIPS to pre-recording high-risk speakers (those travelling from interstate or overseas).
We provided production and project management, which included:
- managing the production crew, logistics and deliverables
- liaising with the venue and in-house AV team to make sure all systems and capabilities were considered
- remote testing and program run-through
Along with project management, we also scheduled and prepped speakers for their pre-recording sessions, including taking them through their tech and visual set-up to ensure a top-notch result.
A day prior to the event, we held a bump-in day at the venue. The livestream technician set up the equipment and tested the stream and tech, so there would be no surprises during the event, and we ran through a rehearsal with event staff and the in-house AV team present.
On the day
Our livestream technician and video/camera operator were there for both days of the event, capturing all of the action and livestreaming it to the virtual audience. We monitored the event remotely and were in constant communication with the client and production team to resolve any production issues, resulting in a smooth and professional production. Our efficient post-event editing also saw the on-demand product ready within 24 hours of the event.
The response to the conference was exceptionally positive, and from our point of view there were no significant issues, and the small matters which arose were quickly and perfectly resolved.
The preparatory work involving meetings and emails made for a very streamlined and efficient process, and it was a pleasure to work with you and the team of Transcend Media again for ACBO’s national conference.
